Power BI dashboard + website for pharmacies and drugstores

Your pharmacy sells. It just can't see where it leaks.

Stockouts, expiring lots, squeezed margin, staff on the wrong shift. A dashboard that shows where the money escapes and a website that lets the neighborhood find you. For owners tired of deciding by looking at the till.

Pharmacy management leaflet

Eight side effects of managing in the dark.

Every leaflet starts with what can go wrong. Pop a capsule from the blister pack to read the pain and see what the dashboard shows. Treat all eight.

The customer asked and you didn't have it

“They walked out without the medicine and went straight to the competitor. I never even knew.”What the dashboard shows

Stockouts by store and product, with the sale that never came in and the suggested safety stock for what can't run out.

A lot that expires on the shelf

“I only find the expired lot at inventory time. By then it's a loss.”What the dashboard shows

An expiry ladder: what expires in 30, 60 and 90 days, what it costs, and which lot to discount or move to another store before it's lost.

Dashboard screen: Stock
Side effect nº 03/08

Sells a lot, keeps little

“Revenue goes up, the till doesn't. Discounts, marketplace commission and generics eat the margin.”What the dashboard shows

Margin by category and turnover, where discounts go and marketplace commission: what carries the result and what only adds motion.

Dashboard screen: Products
Side effect nº 04/08

Too many people at 9 AM, too few at 7 PM

“A line at the end of the day, an empty counter in the morning, and the 24-hour store open all night.”What the dashboard shows

A 24-hour clock: hour × weekday heat map, each store's profile and the math on whether the night shift pays off.

Dashboard screen: Clock
Side effect nº 05/08

The repeat-prescription customer disappears

“People on long-term medication come back every month, until the day they don't.”What the dashboard shows

Purchase interval, cohort retention and the list of customers at risk of not returning, so you can call at the right time.

Dashboard screen: Customers
Side effect nº 06/08

The ticket that could be bigger

“The customer takes the painkiller and forgets the vitamin. The clerk doesn't know what to suggest.”What the dashboard shows

A cross-sell map: who takes A also takes B, with confidence and lift, to train the right suggestion at the counter and in the app.

Dashboard screen: Basket
Side effect nº 07/08

Counter, app, WhatsApp, marketplace

“I sell through four channels and don't know which leaves money and which just creates work.”What the dashboard shows

Several stores, one spreadsheet

See it working

A pharmacy chain dashboard, open for you to play with.

This is Vivalume Farma, a dashboard we built as a demonstration for a fictional chain. Filter, move through the screens and open it full screen. The data is made up; the design, the questions and the care in reading are what we deliver.

What is losing a little less worth?

Enter the numbers of one store or the whole chain. The calculation runs in your browser, nothing is sent, and the result is an estimate to start a conversation, not a promise.

Don't know where to start?

An X-ray of your pharmacy in 3 questions.

Answer honestly. Nobody sees it, and the result tells you whether your first step is a dashboard, a website or both.

1/3

Do you know, today, how much stock expires in the next 60 days?

2/3

Do you know which hours of the week the store truly makes money?

3/3

Does someone searching “pharmacy near me” find yours with hours and WhatsApp?

Don't know where to start?

Two fronts, one goal

A dashboard that shows. A website that brings.

Each front works alone, but together they close the loop: the website brings the customer, the dashboard shows what to do with them.

Contraindications and precautions

Health data is sensitive. The dashboard was designed for that.

In a pharmacy, almost any record can reveal a health condition. So the design starts with what we don't do.

Does not link customer to medicine

The dashboard works with aggregates: category, store, hour, channel. In the demo, nobody has a name or a drug attached.

Does not replace your controlled-substances system

Controlled-product tracking stays in the system the law requires. The dashboard reads what the ERP exports, without touching it.

Does not give everyone the same access

Per-user profiles: a store manager sees their store, the board sees the chain.

Does not hide its criteria

Every metric has a written definition, and what the data cannot calculate is said on screen.

Project dosage

Four doses, from problem to live dashboard.

Dose 1

Diagnosis

We talk about the questions you can't answer today and where the data comes from: ERP, POS, stock, delivery.

Dose 2

Design

We define metrics, alerts and the look before writing the first line. You approve it on paper.

Dose 3

Build

We connect, model and publish. You validate every step with your own numbers.

Dose 4

Follow-up

We see what the team really opens and adjust. The dashboard evolves with the routine.

FAQ

Frequently asked questions

Do I have to replace my ERP or pharmacy system?

No. We work with whatever your ERP, POS and spreadsheets can export (CSV, Excel or a database). We confirm the sources in the diagnosis.

Does it work for one store or only for chains?

Both. With one store, the dashboard focuses on expiry, stockouts and hours. With several, store comparison, targets and stock transfers come in.

Is my customers' data safe?

We use the minimum needed, per-user access profiles and aggregates instead of individual records. The data stays yours, and health data is treated as sensitive.

Does the dashboard replace the controlled-substances system?

No. The control required by law stays in its own system. The dashboard supports management, not regulatory records.

Does the website sell medicine online?

The site presents the pharmacy, takes orders via WhatsApp and guides pickup. Selling and advertising drugs follow Anvisa's rules and your responsible pharmacist's; we assess what can appear case by case.

Do I already need Power BI?

No. We work out with you the publishing format and licensing that fit the size of your operation.

How long does it take and how much does it cost?

It depends on scope and source quality. In the diagnosis we agree on timelines, deliverables and fees in writing before we start.
